I’m not ready to hire.
Employee, Virtual Assistant, Agency or Outsourced Team?
The short answer
Who this is for
Owner-operators of small but working businesses. There’s revenue, there may be one or two staff, and too much still routes through you. You’re not asking for advice — you’re asking who is going to carry it.
What’s actually taking too much?
In most three-person businesses the bottleneck isn’t hands, it’s ownership. Tasks get done; sequences don’t. The proposal gets written but not followed up. The post goes out but nobody answers the DMs. The supplier replies but nobody compares the quote.
That distinction matters, because it decides which of the four options below will actually help. More hands fix a volume problem. Ownership fixes a continuity problem.
The four options, side by side
| Employee | Virtual assistant | Specialist agency | Outsourced team | |
|---|---|---|---|---|
| Best use | Full-time, business-specific work | Defined repeatable tasks | One channel, done deeply | Several functions, none full-time |
| Breadth | Whatever you train | Narrow, task-level | Deep in one discipline | Cross-functional by design |
| Ownership | High, once trained | Low — you still direct | High within their scope only | Medium to high across scope |
| Cost structure | Salary, CPF, tools, leave | Hourly or monthly retainer | Retainer plus media or production | Monthly fee within a set scope |
| Management needed | Significant and ongoing | Moderate, brief-by-brief | Low, but you approve a lot | Low — coordination is the product |
| Continuity | Strong until they resign | Varies with the individual | Strong, contract-bound | Depends on documentation |
| Main limitation | Fixed cost, slow to change | Doesn’t own outcomes | Narrow, and rarely cheap | Not unlimited — scope is stated |
When an employee is the better choice
The work is full-time. It needs someone in the room, on the floor or on the phone all day. It’s specific enough to your business that training is worth it, and stable enough that you’ll still need it in two years. If that describes your gap, hire — and don’t let a cheaper monthly figure talk you out of it.
When a virtual assistant is enough
You know exactly what needs doing, you can write the brief, and the value is in the hours not the thinking. Inbox sorting, data entry, research lists, calendar work. If you’re happy to stay the coordinator, a good VA is the most cost-effective option on this list.
When a specialist agency is the better choice
One channel is your growth engine and it needs depth: a serious paid media budget, a full brand rebuild, a technical build. A generalist team spread across six functions will not out-perform specialists concentrating on one. Buy the depth.
When an outsourced team makes sense
The work crosses marketing, business development, operations and systems; each piece is too small for its own hire; and the failure mode is things stalling between people rather than nobody being capable. That’s the gap IUWUH support plans are built for — from S$380 a month at Starter, with a one-time sign-on service bonus when you come onboard.
For a worked example, see how marketing, partnerships and operations came together for Avant Garde Art Space.
What should stay with you?
- Final decisions — pricing, hiring, which partnerships to accept.
- Relationships where your presence is the point.
- Your specialist judgment. Nobody outsources what makes the business worth buying from.
The smallest sensible next step
Write down the three things you would hand over on day one. If all three are tasks, you probably want a VA. If all three are sequences that keep stalling, you want ownership — and that points to an employee or an outsourced team, depending on whether the work fills a week.
When this is not the right solution
IUWUH is not unlimited staffing, and it is not a replacement for a full-time employee in every situation. If you need daily physical presence, licensed professional advice, or one channel pushed hard by specialists, say so — we’ll tell you the same thing. More detail on the boundaries is on the page explaining who IUWUH is not for.
Choosing well matters more than choosing us
A client who picks the wrong model spends four months discovering it. We’d rather lose the enquiry than be that four months.
